A special meeting of the City Council was held on May 5, 2014 at 12:00 p.m at City Hall.  This meeting was posted at City Hall, Post Office and Mainstay Communications.  The purpose of this meeting was to discuss the bid from VanKirk Brothers Contracting for the Providence Subdivision.

Acting President Scott Erb called the meeting to order at 12:00 p.m.   Acting President Scott Erb declared the meeting to be legal and properly advertised with all members having been informed of the nature of the meeting and having received related information and also referred to the open meetings law poster at the back of the council chambers.

The following members were present: Scott Erb, Jim Mestl, Mike Wall and Lee Thiessen.  Absent: Mayor Ken Bergen.  Also present were Brad Selletin and Jeb Mierau of Ayars and Ayars.

Brad Selletin explained to the council that VanKirk Brother’s bid submission was to be for Packages 1, 2 and 3 or none at all.  As VanKirk’s was low on Packages 1 & 2 and not 3, it was discussed that it was still to the best interest of the City to still accept VanKirk’s bid for Packages 1, 2 and 3.  Brad Selletin has discussed this with Steve from TCW Construction, who was low bid for Package 3, and Steve was fully aware of what the city’s decision could be and would be satisfied with the decision.  No formal action was taken as this will be fully executed with contracts at the May 13 meeting.

Mike Wall made a motion to adjourn.  Jim Mestl seconded.  Roll vote: Ayes - Mike Wall, Jim Mestl, Lee Thiessen and Scott Erb.

Motion carried.
